Module: “Generation of issues”

Module is designed for generation of issues, which are submitted for consideration to the collegiate body. The system grants the opportunity of automatic creation of template of explanatory note based on the specified data in the issue card and appropriate annexes with subsequent sending to the approvers.

Generation of materials for consideration by the collegiate body

Generation of materials for consideration by the collegiate body based on a pre-defined template subject to the availability of the necessary criteria and fields.

Agreeing of materials for consideration by the collegiate body with the supervisor.

Adding of information on the approving group, invited persons responsible for preparation the materials, speaker.

Adding to an issue card:
- annexes to draft resolution
- annexes to explanatory note.

Generation of a draft “Explanatory Note” based on a pre-defined template.

Sending of materials for agreeing with opportunity of recalling.

Module: “Generation of issues”

Module is designed for generation of issues, which are submitted for consideration to the collegiate body. The system grants the opportunity of automatic creation of template of explanatory note based on the specified data in the issue card and appropriate annexes with subsequent sending to the approvers.

Agreeing of materials with the Supervisor

An in-system message containing the link to the issue (there is opportunity of duplication of messages to the corporate mail and/or messengers).

Central access to materials of the issue.

Making of managerial decisions:
- “Send the issue for follow-on revision”
- “Approve”.

Approving group

Upon sending of materials to the approving group (employees of organization departments taking part in agreeing of the materials), the head has the opportunity to make a managerial decision:
- “Appoint an executor” (in accordance with belonging to an organization department)
- “Accept the issue for processing independently”
During consideration of the materials:
- “Approve”
- “Refuse”
- “Send for follow-on revision”.

The system grants the opportunity of automatic creation of template of explanatory note based on the specified data in the issue card and appropriate annexes with subsequent sending to the approvers.

Results of agreeing

According to the results of agreeing of the materials submitted for
consideration to the collegiate body, the Initiator of the issue and
stakeholders will be provided with an in-system message containing the link to the issue (there is opportunity of duplication of messages to the corporate mail and/or messengers) with the results of consideration by the approving group and supervisor.

Following the link, the Initiator may be acquainted with decision of the approvers in the issue card.

Module: “Generation of agenda”

Module is designed for summarization of the agreed issues and generation of agenda. The system provides for the function for selection of issues, which are to be included into the agenda, subject to subsequence of their consideration. If necessary the Secretary, and in case of submission of issues to the Board of Directors – Corporate Secretary has the opportunity to introduce changes to a draft resolution, to generate a commitment or to send the material for follow-on revision.

Generation of agenda

The main business-owner of the process is the Secretary, and in case of submission of issues to the Board of Directors – Corporate Secretary.

All the agreed issues are automatically consolidated in the filter of the issues, based on which the user generates the agenda of meeting of the collegiate body.

At the stage of acquaintance with the list of issues, the Secretary or Corporate Secretary has the opportunity to make one of the following decisions:
- “Send for follow-on revision”
- “Select the necessary issues and generate the agenda”.

If necessary, the user may be acquainted in details with the submitted materials by following the link of issue.

Module: “Voting”

Module is designed for voting of the members of the collegiate body on submitted issues in accordance with the agenda. The system grants the opportunity to add or to exclude the issues of the agenda, confirms the vote using EDS of the National Verification Center of RoK, to introduce changes to the draft resolution, to create commitments. In case of voting through one-stop solution, the system ensures the mass voting on submitted issues.

Adding or excluding of issues from the agenda in the course of the meeting of the collegiate body (only on the materials, on which a resolution has not been made yet).

Corrections to a draft decision based on comments of the members of meeting of the collegiate body.

Module: “Voting”

Module is designed for voting of the members of the collegiate body on submitted issues in accordance with the agenda. The system grants the opportunity to add or to exclude the issues of the agenda, confirms the vote using EDS of the National Verification Center of RoK, to introduce changes to the draft resolution, to create commitments. In case of voting through one-stop solution, the system ensures the mass voting on submitted issues.

Module: “Generation of excerpt”

Module is designed for generation of an excerpt for each of the submitted and considered issues. According to the results of voting, the system generates the excerpt (information on resolution of the competent authority) and sends to the request initiator and approving group.

According to the results of approval of the materials submitted on each of the issues, the excerpt is automatically generated and sent to the Initiator of the issue, stakeholders.

Generation of commitments on submitted issues and their sending to the executors, subject to representation of information on the execution period.

Module: “Generation of commitments”

Module is designed for generation of commitments of the members of the collegiate body. The system grants the opportunity, during the meeting, to send the appropriate commitment to organization departments, according to the results of voting, the commitments are automatically transferred for execution.

Generation of commitments on submitted issues and their sending to the executors subject to representation of information on the execution period.

Making of managerial decisions:
- “Accept for processing”
- “Appoint an executor”.

During processing of commitment:
- “Executed”.

Module: “Generation of minutes”

Module is designed for generation and signing of the minutes of meeting of the collegiate body. Based on the passed cycle of the agreed issues, the system generates the minutes, which shall be subsequently signed by the members of the collegiate body.
